The best defense is a good offense! Be transparent and have a LinkedIn profile.

Welcome. Try to establish an online footprint for your new company and social channels like Micah said. It's an area many brokers tend to overlook. In my opinion, there is always a strong chance that the business owner will perform a 'google search' before making a decision. There are case studies of upwards of 90% or greater on B2B Transactions that people look online for reviews and more info. If they can't seem to locate much of anything about you and the company then this may be enough where they say forget it. You're asking people to submit sensitive information over. You need to show and present them that their documents will be secure whether this is a portal on your website, or you are sending them a secure link to upload the requested info. Also, take in account making things quick and easy for them to apply with you. I think its good initiative on your part by simply asking for guidance out here. All the best to you on your new journey.

you'll always gret the occasional wackjob that refuses to send you any personal information (social, bank statements, etc etc). In my experience 75% of those people have something to hide. The other 25% its your job to sell them and convince them you are trustworthy and have their best interests at heart.

Agreed,
back when I was a broker, I had a merchant that refused to sign the docusign since he did not want to consent to the "I Agree to the terms and conditions" part at the end when completing the contract.
I asked him if he had the same issue when he set up his iphone and they asked to click that he agreed.

After over 10 years I can't remember a time someone was afraid to submit an app to me, but I'm sure it might of happened. But 3 times already? Do you use a company email? Do you sound professional? Do you have an online presence? These are only some of the things that will give people red flags and start to worry about being scammed.

The grammar, spelling, and punctuation errors in your post are a red flag to your prospects.

Have you listened to yourself speak? Do you sound like a sketchball?

It happens from time to time but I've mostly seen that happen when the broker says something that's complete bs and the merchant knows it too. no going back from that. Personal and company touts will in most cases ease their minds. Appreciate their concerns too. Most calls go the same or similar way so if that's happening frequently my guess is you say something confidently that doesn't make sense to them. Jokes aside, Senddox has a good point. record and listen to your calls. pm if you need any other info
